Tour Participant Agreement

There are various unpredictable dangers when we carry out outdoor activities in nature though we pay close attention to safety. Please confirm and agree to the following conditions before participating. We will consider that you have agreed to the following terms when your reservation is confirmed.

Risks in Outdoor Activities

During the tour, your guide will carefully monitor weather conditions and the environment to ensure safety. Please be aware that outdoor activities come with inherent risks. Following the guide’s instructions is crucial for your safety.

Decision about Tour Conduction

• We will conduct a tour even in light rain as far as it is considered safe.

• One of the criteria for canceling a tour is a “warning” issued by the Japan Meteorological Agency, but the tour may also be canceled at the guide’s discretion.

• When the tour is canceled at the guide’s discretion due to bad weather, cancellation fees will be charged based on the  “Cancellation Policy” below.

Obligation to Report and Respond to Health Conditions

• Before the Tour: You must disclose any health conditions or illnesses when registering for a tour. This information helps the guide manage emergencies effectively.

• During the Tour: If a medical issue arises, the guide may take appropriate actions, including potentially canceling the tour for safety. Follow the guide's instructions.

Disclaimer

• Participants are responsible for their own belongings during the tour. There are various risks such as your belongings falling and being broken or damaged. Please understand the risks during the tour.

• If a participant causes a damage to the guide or another participant due to his/her intention or negligence, the participant must compensate for the damage. (Ex: Damaging to items rented from the guide, damaging to the guide’s car, damaging to or loss of items borrowed from other participants, etc.)

Insurance

• Automatic Enrollment: At the start of the tour, you will be automatically enrolled in accident insurance, which provides coverage of up to 5 million yen for accidental death, 5,000 yen for hospitalization per day and 1,500 yen for outpatient per day.

• Recommendation: For additional coverage, we recommend obtaining personal accident insurance.

Policy for Personal Information

Personal information written on the application form will be used to contact participants, and participants’ information may be used for tour guidance. In addition, we may provide information to third parties (mainly police and fire departments) if we need a rescue during the tour.

Changes to Reservation

• Decrease in Participants: If fewer participants than originally planned attend, cancellation charges will apply as follows:

  • 50% of the guide fee if canceled from 2 days to the day before the tour.

  • 100% of the guide fee if canceled on the day of the tour.

• Increase in Participants: Additional participants may be accommodated depending on availability, but this cannot be guaranteed.

Cancellation Policy

In case of cancellation due to customer’s circumstances, cancellation fee will be charged as follows.

• In case of cancellation on the day

• → 100% of tour fee

• If canceled from 7 days to the day before

  • → 50% of the tour fee

• If canceled from 14 days to 8 days before

  • → 20% of the tour fee

• If you cancel at least 15 days in advance

  • there will be no cancellation fee.

• Cancellation decision before gathering

• → No guide fee will be charged

• Cancellation decision after gathering and before departure

• No guide fee will be charged

• If the tour is canceled after the start

• → No refunds are available

• If there is a partial course change due to weather
